Job description

AARS’ receptionist conducts and coordinates administrative tasks and assists all staff with correspondence, filing and other general office duties as directed by the Executive Director. Enters data into the AKAIMS Management Information System and answers phones.

Essential Duties & Responsibilities:

  1.  Answer phones,
  2. Greet the public,
  3. Record donation receipts and forms,
  4. Enter data into AKAIMS Management Information System; other clerical duties as assigned.
  5. Route all mail coming into AARS,
  6. Date stamps all incoming mail, and see that outgoing mail is taken to the post office daily.
  7. Know where/when staff are at the facility, based on the staff reporting to the receptionist.
  8. Maintain visitor log.
  9. Assist with inventories and organization of office supplies and other areas.
  10. Assist with cleaning in immediate work area, i.e., front office.
  11. Read all policies and procedures manuals of AARS and pass exam on manuals.
  12. Participate in all staff and AARS meetings taking minutes, typing minutes for distribution after being approved by the Executive Director.
  13. Learn and maintain confidentiality of client information within Federal and State guidelines.
  14. Participate in evaluation of job performance.
  15. Complete RELIAS training course and other training as assigned.
  16. Learn and maintain client confidentiality within federal and state laws.
  17. Maintain project logs, reports and records in appropriate files and database(s).
  18. Participate in staff training and conduct training sessions as requested.
  19. Prepare and submit timely reports and records to Administrative Assistant.
  20. Prepare and submit incidents reports as needed both positive and negative to Administrative Assistant and other staff.
  21. Required to read all policies and procedures manuals of AARS; able to pass exam manuals.
  22. Participate in staff meetings or review minutes within 48 hours of missed meeting.
  23. Participate in staff training and provided leadership for training as requested.
  24. Participate in probationary and annual staff evaluations.
  25. Review and become familiar with the Personnel Manual for AARS.
  26. Completes other duties as assigned.

Minimum Qualifications & Required Skills/Abilities:

  1. Has, as a preference, a minimum of one year experience in alcohol and/or drug abuse in-patient treatment program.
  2. Familiar with Microsoft Office, Windows, and other computer programs.
  3. Ability to follow instructions and work independently within established guidelines and be a self-starter.
  4. Ability to work with a diverse staff and residents.
  5. Has good handwriting/printing skills.
  6. Must have: Appropriate computer skills, Current TB test (obtainable within the first 30 days of employment); Current First Aid / CPR Cards (obtainable within the first 90 days of employment); Initial COVID vaccinations, provide vaccination card as proof; and a valid Alaska Driver’s License, with a good driving record and insurable.
  7. Must be able to pass the mandated criminal background check with an allowance for a variance.
  8. Is a positive role model.
  9. Has the ability to enforce client rules.
  10. Preferred: Familiar with Alaska Native culture; resident of Mat-Su Valley; experience working with handicapped; some experience with social service agencies; good team worker who can relate well with fellow workers; able to relate to alcoholics, drug abusers, and public inebriates, and familiar with AA / NA treatment philosophies.
  11. Must be a person who is free from allergies, which would interfere with daily AARS life.
  12. May be a resident of the Mat-Su Borough and a person with knowledge of Alaska Native Cultures, both of which are preferred.
  13. Has maintained sobriety for at least one (1) year if a recovered alcoholic / drug-abuser.

Employment Status: Full-Time
Starting Pay: DOE (position also includes a monthly gas allowance, health insurance stipend, and COVID vaccination bonus)
